February 2020 Executive Board Meeting Minutes

February 20, 2020

The meeting was called to order by President, Diane Tillotson at 10:03 am.

A quorum was present.

Approval of Minutes-Jean Amundson moved to approve the January executive meeting minutes as printed, Debbie Mosley seconded the motion and the motion carried.

Treasurer’s Report-Janet Sylvester presented the treasurer’s report and was accepted.

Jean Amundson moved to place the surplus balance of the ?? fund to Capital Outlay Fund.  Nan Scott seconded the motion and the motion carried by voice vote.  The discussion included the need to purchase another portable amplifier from these funds.  Georgia Sabourin will look into a portable amplifier.

New Business

Diane Tillotson received a request for a quilt for the Chamber of Commerce by March 13.  Jean Amundson offered to donate one and Paulette Stenberg also has a possible quilt.  Thank you to these generous members.

The Lincoln County Fair has requested funds to help sponsor ribbons.  If a business donates $200, then they get a banner as a sponsor.  Twy Hoch added that we have donated to this cause in the past.  Nan Scott moved that we donate $200 to the Lincoln County Fair and ask permission to sell raffle tickets for our 2020 Raffle Quilt.  Debbie Mosley seconded the motion and the motion carried by voice vote.

Jean Amundson had requested to display OCQG quilts at the Latimer Center in Tillamook.  They have responded with this opportunity in Jan thru Feb, 2021.

Jean Amundson presented 3 options (see attachment) of choosing quilts for display at Latimer.  Lindanne Perdue moved that we select Option 1- (Blue ribbon winners of 2020 Quilt Show).  Nan Scott seconded the motion and the motion carried by voice vote.

Jane Szabo presented an idea of having a Special Exhibit at Quilt Show 2021, for our 30th Anniversary.  Jane Szabo moved that we recommend to the Quilt Show Chairs of 2021, having a Blue and White Quilt display on all railings in the Rec Center and the hallway, Café, room as needed for visual effect at Quilt Show 2021. Twy Hoch seconded the motion and the motion carried by voice vote.

COMMITTEE REPORTS

Block of the Month-Cyndie Wenz, as the Chair, will not have signups each month but will bring only 30 packets to each meeting.  They are available for pickup like the Veteran’s blocks, and will be returned the next month.  Blocks will be raffled off among the participants.

Challenge- Jean Amundson has 17 signed up for the Challenge, 100 year, Votes for Women.  There is still time to sign up, see Jean.

Communications– Melissa Hollenbeck said all is going well, but it would go smoother if everyone would send in the articles on her deadlines. Every committee should send an update to her about their activities.  It was suggested that she might have a regular deadline each month, but Melissa does give reminder emails.  

Please read your emails and the blog for important information.

Community Quilters-Lindanne Perdue reported that 19 quilts have already been donated since Jan 1, 2020.  473 quilts were donated in 2019.  Last Thursday volunteers bundled 21 quilts kits to be given out at the Guild meeting.  Please help out and pick one up in March.  Please put your name on community quilts dropped off at the table, who pieced, who quilted and who bound the quilt.  Habitat for Humanity will receive 4 nice quilts when they are ready.  The committee needs lap and twin-size quilts.

Documentation- Evelyn DePaolo reported the next documentation is reported wrong in the Directory. It is June 13, Newport.

Finishing School– Paulette Stenberg reported Finishing School is next week from 10-4 and a Special Happening will surprise all that attend.  Bring extension cord and machine.

Hospitality-Georgia Sabourin reported that we will have extra candy from the retreat in March.

Library-Pam Grindell asks that any “Free Stuff” be given to the Grab Bag committee, Wilma and Janet, and do not place it on Library Cart.

Membership-Thanks to the committee for the great job on the Directory.

Feb Guild meeting had 89 members, including 2 new members, plus 3 visitors.  We now have 186 members.  Don’t forget to renew your membership.  The directories were handed out at Feb meeting and will be at the March meeting.  Those members that have paid the $4 fee have been mailed their directory.  Please pick up your directory or have someone pick it up in March.  If you want it mailed please send or give the $4 to membership committee.  Give any corrections to directory to committee.

Merchandising-Dennis’ new drawing is ready.  The committee is working on new fabric panels and new merchandise.

Program/Workshop– March program is Cheryl Brunz-a long arm quilter and pattern designer from Eugene, Or.  The workshop in March is Gail Chipman’s class on Camden tote bag.  Everyone enjoyed the Feb Guild meeting program.

Publicity-Please get articles to Jean A about the next month program.

Retreat-2021 dates are Feb 2-5, sign ups will begin in May.

Sable-Teecia Cornelius will handle March Guild meeting, bring dots or stripes.

Veteran’s-Veteran will be presented quilts at Bayshore, March 20, 1 pm

Veteran’s Sew Day at Bayshore will be March 27, 10-4.  Everyone is welcome to attend both days.

2020 Raffle Quilt-Quilt is at Ruth’s family fabric.  They sold $15 of tickets at Retreat, then $250 at the Albany Quilt Show.  Ticket packets were passed out in Feb Guild meeting and next meeting.  Please pick up a packet to sell.

2021 Raffle Quilt-Almost complete and ready for quilting.

Silent Auction-Jean Amundson is ready to receive your small quilts.  Please bring quilts anytime.
