OREGON COASTAL QUILT GUILD EXECUTIVE MEETING JANUARY 21, 2021
The Executive Committee meeting of the Oregon Coastal Quilt Guild was held on Zoom on January 21, 2021 and called to order by President Meralee Wilson at 10:02 a.m. A quorum was present.
Approval of Minutes – Barbara Kinzel moved the minutes of the November Executive Board Meeting by approved as published. Motion was seconded by Becky Mershon and passed by hand vote.
Treasurer’s Report – Nan Scott is co-treasurer with Janet Sylvester and the General Meeting Minutes will be amended regarding same.
Old Business – Melissa Hollenbeck has asked that she not be required to attend board meetings because of her blog responsibilities. The request was granted.
New Business – Janet Sylvester and Nan Scott raised the issue of changing banks from Umpqua to Washington Federal. The move would be made for the sake of convenience, Washington Federal having more branch offices, more flexibility in obtaining officers signatures when necessary, and mobile deposits. In addition, the interest rates are particularly good with low fees. A discussion ensued and Nan Scott said she would find out if a Guild account at Washington Federal would qualify for Treasurer Express. Jane Szabo moved to permit the Co-Treasurers to transfer accounts to Washington federal in their discretion. Debbie Mosley seconded the motion which passed by hand vote.
Nan Scott also raised the issue of buying checks for printers rather than continuing to use standard checks. The change would be made for the sake of convenience as the Guild’s software generates stubs when printing checks. New software would not have to be purchased. Jane Szabo suggested purchasing the checks through Costco to save money. Decision was not made on this issue.
The Finance Committee submitted the November 2020 Treasurer’s Report for acceptance. Jean Amundson moved to accept the Treasurer’s Report. The Report was accepted by hand vote.
The Finance Committee submitted the December 2020 Treasurer’s Report and the December Treasurer’s Report was accepted by hand vote.
Committee Reports
Audit – No report
Block of the Month – Patti Stephens reported that the new Committee Chair of Block of the Month is Cynthia Wenz
Challenge Quilt – Chris Benedetti reported that progress is slow, but they intend to have thirty participants.
Communication – New membership checks have been going to Nan Scott’s personal P.O. Box for convenience. Now, the checks should go to Janet Sylvester’s P.O. Box. Friday, January 22, 2021 is the deadline for membership information to be included in the directory.
Community Quilters – Lindanne Perdue reported that the open house will be held with the Veteran’s Project on February 4, 2021 from 10 – 2.
Documentation – No report.
Finishing School – No report
Hospitality – No report
Librarian – No report
Membership – Patti Stephens reported the Guild has 153 members including a woman in Pennsylvania who enjoys attending meetings on Zoom. The membership is down from 190 in the immediate past year. Patti has finished the directory, but she is two pages light. Barbara Kinzel suggested Meralee Wilson write a “President’s Page” and Rose Shaw suggested including a picture of the 2020 Raffle Quilt.
Merchandising – Becky Mershon reported that the printer of the Bridge panels has final found the correct fabric.
Programs/Workshops – Jane Szabo reported that our next speaker will by Cindy Fitzpatrick who will present a program entitled “Why Didn’t I Think of That?” which will include tips and tricks for quilters.
Publicity – Jean Amundson said she has not advertised general meetings in any newspapers lately. A discussion ensued about allowing guests to attend on Zoom, but it was pointed out that guests could only attend two meetings before they had to become members. It would be difficult to police the guest activity. No activity was taken on the suggestion.
Quilter’s Surprise – No report.
Retreat 2022 – Georgia Sabourin reported sign-ups starting last May have been zeroed out and a new sign-up will begin shortly. Money will be collected beginning in September.
Veteran’s Projects – Rose Shaw announced six quilts have been gifted and there are twenty-six on the list. The committee has met recently and laid down new ground rules. Quilts should be 50” x 72” to accommodate veterans sleeping in chairs, and dog and cat hair should not be permitted on the quilts because of allergies. The Veteran’s Project will meet on February 4, 2021 from 10 – 2.
2021 Raffle Quilt – The quilt is presently on display at Sew it Seams. The meeting for the 2022 Raffle Quilt will be on January 27, 2021.
Quilt Show – Darcy De La Rosa and Cindy McEntee are contacting all committee chairs to see who will work on the 2021 quilt show if it goes forward. Response has been light. Regarding holding the show, Cindy McEntee reported that if there are no reports on Covid-19 gatherings by mid-May, the Quilt Show will not go on. Jean Amundson reported the 2020 Quilt Show judge is reserved for the 2021 Quilt Show.
Fire Relief Fund – There are $2049.00 and gift cards remaining in the disaster relief fund. Nan Scott moved to distribute the rest of the funds immediately. Debbie Mosley seconded the motion. The motion passed by hand vote. Rose Shaw reported she received a note from Nancy Cross who was the sole recipient of fire funds and is presently in Lincoln City. Rose Shaw reports she is well.
