January 2020 Executive Board Meeting


The meeting was called to order at 10a.m. by President Diane Tillotson.

Approval of Minutes – Jean Amundson moved that the minutes of the November 2018 Executive Board Meeting be approved as published.  Motion was seconded by Darcy de la Rosa and approved by a voice vote.

Treasurer’s Report was given by Janet Sylvester and accepted as presented.  Nan Scott gave an explanation of the report for new members and emphasized the importance of Committee Chairs to review their sections of the report.  Paulette Stenberg moved that $2000 from the Outreach Balance be moved to the Special Speaker account and the remainder of the balance be moved to Outside Grants. Motion was seconded by Maria Hunter.  The motion was passed by a voice vote.

Old Business

President Diane Tillotson reminded the members of the importance to have each committee represented at the Executive Board Meetings.  It takes 14 to have a quorum.  There will be a sign-up sheet passed around at each meeting.

Block of the Month – Meralee Wilson brought up the question “Does there need to be a minimun number of participants to continue since it is a budgeted item.”  Discussion followed regarding the question.  Everyone seemed to agree that it is important to continue since it helps to teach new techniques.  It was recommended that Block of the Month be moved up in the agenda.

Communications – Great job.

Community Quilters – Lindanne Perdue gave the yearly report:

Distribution 2019 – 394 – SitUpon Pillows (after-school programs) 42; Totes 25; Burp Cloths 180; Hospital Pillows 35; Childrens Corner Pillows 48; Pillowcases 100; CAC Tote Bags 5; Dog Beds 4; Oncology bags 84; Cariology bags 46.  Quilt inventory beginning 2020 is 20.  There are also 6 quilts set aside for Habitat for Humanity House build in Newport which hopefully will be distributed next week.  Recipients – Seashore Literacy Center, Waldport WIC, Philomath School District School Nurse, Blodget School Nurse, Kings Valley School Nurse, Waldport Schools Nurse, Toledo Schools Nurse, Lincoln County Foster Parents Association, Lincoln  County Head Start, My Sisters Place, Samaritan House, Childrens Advocacy Center, Samaritan Hospital Oncology, Ssamaritan Hospital Cardiology, Habitat For Humanity, Samaritan Hospice, Newport, Samaritan Hospice, No. Lincoln County, Lakeview Senior Living, Lincoln City, Neighbors For Kids, Kids’ Zone, CASA, Safe Families, Lincoln County Youth Shelter.  Current Needs – Burp Cloths, Pillow Cases, Lap sized quilts.

The Community Quilters are looking for purple fabric in at least l yard pieces.

Documentation – Evelyn DePaolo reported there have been 1900 Quilts Documented.  Quilts are needed for the documentation date in Lincoln City on February 15, 2020.  Documentation is open for

any quilts.

Finishing School – Paulette Stenberg reported Finishing School is next week from 10am-4pm at the Carriage House.  Come one, come all with your projects.  It’s a great time to turn your UFO to an FFO.

Hospitality – Georgia Sabourin reported that the committee is working well.

Library – no report

Membership – Maria Hunter is working on transition needs.

Merchandising – Rose Shaw reported they are waiting for Dennis’ new creation.  A request was made for the committee to consider some clothing with the new design.

Programs/Workshops – Janet DeSau reported that the year schedule is complete.  Information for the year is posted on the BLOG for all to read.  If a Guild Committee or a small group such as Bayshore Quilters or Knotty Ladies does the program, special purchases can be reimbursed.

Publicity – Jean Amundson should be given information for articles.

2020 Guild Retreat – Georgia Sabourin reported it is fully booked and will be a good time for all.

Sable – Ruth Hutmacher will put additional reminders on the Guild Website BLOG for members.  Yearly SABLE listing is in the Membership Booklet.

Veterans Project – Twy Hoch reported there will be a Sewing Party at Bayshore on March 20th from 10am-4pm with a presentation to people from South County after lunch at 1pm.  Everyone is invited to join the fun!

2020 Quilt Show – Darcy de la Rosa reported the monthly meetings will start in February and will be held on the 3rd Thursday at 1:15pm (same day as Guild Executive Meeting).  There are still some openings for committee chairs.  New Rack Cards have arrived.  Raffle Tickets will be available at the next General Meeting along with a schedule for where the quilt will be displayed (shops and shows).

2020 Raffle Quilt – Phyllis Mitchell reported tickets are ready for sale.  Quilt will be displayed at the  Guild Retreat and at the show in Albany .  Postcard will go in ticket envelopes and tickets will be available for pick-up at the next General Guild Meeting in February.  Phyllis would like to be on the agenda to make regular “announcements” at the Guild meetings.

2021 Raffle Quilt – Almost complete and ready for quilting.

Guild Website – Everyone was reminded that it is the responsibility of “each committee chair” to update their page on the website.  If you need help, contact Nan.
