July 2019 Executive Board Meeting Minutes

The meeting was called to order by President, Diane Tillotson at 10 a.m. a quorum was present.

Minutes

A motion was made by Jane Szabo to approve the minutes of the Executive Board Meeting on June 20, 2019.  The motion was seconded by Ginger Dale and approved by a voice vote.

 Jeanette from the Newport Chamber of Commerce presented information regarding what a Chamber membership would offer the Guild.  It was a very informative presentation and a decision was made by the board to further discuss after the Quilt Show at the September Executive Board Meeting. The  OCQG did take out a membership so that our large Quilt Show sign could be put up this year.

Nan Scott moved that the guild pay for membership and new member fees and that any additional one time charges would be paid by the Quilt Show committee.  Motion was seconded by Jean Amundson and passed by a voice vote.  Janet Sylvester, Treasurer will do a journal entry shifting the Chamber of Commerce general costs out of the quilt show costs.  Quilt show will pay for putting up the large sign.

Toni Brodie gave some old “rubber stamps” from Ann Davis to the 2020 Raffle Quilt Committee.

Treasurers Report – Janet Sylvester, treasurers report was accepted as presented.  Janet reminded everyone that receipts for purchases are required and asked that the “line item” in the budget be put on the request forms.

Old Business

Neighbors for Kids received a community quilt for their fundraiser silent auction.

New Business

Coffee Creek Fundraiser ad was approved since they are a non profit.

Committee Reports

Block of the Month – Meralee Wilson reported all is ok.

Challenge – Ginger Dale thanked everyone for the great participation in the Medallion Challenge.  Blocks will be displayed at the Quilt Show.

Community Quilters – Elizabeth Wood reported the committee is still distributing quilts.  Following written report from Sue.  Distribution 1/1/2019 – 7/20/2019, Quilts 209, SitUpon Pillows 22, Totes 21, Burp Cloths 180, Pillowcases 72, Tote Bags 20, Dog Bed 1, Oncology Bags 84, Cardiology Bags 46.

Recipients: Seashore Literacy Center, Waldport WIC, Philomath School District School Nurse, Blodget School Nurse, Kings Valley School Nurse, Waldport Schools Nurse, Toledo Schools Nurse, Foster Parents Association Lincoln County, Lincoln County Head Start, My Sisters Place, Samaritan House, Children’s Advocacy Center, Samaritan Hospital Oncology, Samaritan Hospital Cardiology, Habitat for Humanity, Samaritan Hospice Newport, Samaritan Hospice North Lincoln County, Lakeview Senior Living Lincoln City and Neighbors For Kids, Kids’ Zone.

Documentation – Evelyn DePaolo reported that September and October will be the last Documentations for the year.

Finishing School – Paulette Stenberg reported that Ruth Hutmacher will supervise Finishing School next week.  There were two large bags of fabric delivered to Rich’s for skirts.

Membership – Ruth Johnson will do a PDF for Membership online.  Currently have 205 members!

It was requested that “ Name of Quilt” be added to the Show & Share form.

Program/Workshops – Janet DeSau reported that Teachable Techniques will be the November program. There will be four stations with 15 minute presentations, members will rotate between stations, looking for members to teach techniques.  Request will be posted on BLOG.

Publicity – Jean Amundson reported that there was a nice article in the Quilters newspaper, an article on Featured Quilter Nan Scott was in the News Times and News Lincoln County.  Veterans and Threads of Life Quilt will be a part of the overview article on the Quilt Show.  Lori Tobias will interview Jean for an article.  Catherine Rickbone will talk with Jackie Stankey on Wednesday, July 30th on KNPT. Quilt Show will be announced at the July 29th Chamber of Commerce.

Quilters Surprise – Debbie Mosley reported it is going well.

2020 Retreat – Georgia Sabourin reported there are 5 on the waiting list.

Veterans Project – Ginger Dale will be scheduling work days to turn the Challenge Medallions into 46 Veterans Quilts.  Watch for dates, several workshops will be scheduled during the next year.  

Quilt Show – Jackie Stankey reminded everyone that the final meeting before the Quilt Show is today.

2019 Raffle Quilt  Tickets – Jane Szabo $3512 collected to date, members 1923 tickets, outside sales 1589 tickets. Quilt is currently on display at Quilters Cove and will be picked up and displayed at the Quilt Show.

2020 Raffle Quilt – Ann Flescher reported the Raffle Quilt is currently being quilted.  Quilt will be displayed at Expo in Portland in September.  Jane Szabo will order tickets and reserve a table at the Expo.  A committee head for the 2020 Raffle Quilt needs to be found (current committee only committed to get quilt made).  Committee recommends “Above and Below” as name for quilt.

A bag will be made for the quilt and the new logo will be on the label.

Keeper of the Square – Elizabeth Wood is looking for a replacement to be the “keeper of the Square”.

Announcements

Nan Scott reported that next year is the Anniversary of the 19th Amendment for Voting Rights.  Susan Cronenwett has suggested a national celebration with quilts.  Small quilts challenge for next year was suggested and Jean Amundson agreed to be chair. Nan will get additional information on the project and the idea will be taken to the September business meeting for acceptance by the membership.

Program for the August General Membership Meeting will be the “parade of ribbon winners from the Quilt Show”.  Information will be posted on the BLOG. 

Quilt Show Wrap Up Meeting –  August 15th.

Oregon State Fair – 17 Guild Members will put on a “quilting demonstration” at the State Fair on August 30th.
